Terms and Conditions – Hawthorn Cottage 

Please read these Terms and Conditions carefully and all other relevant information before booking. Any booking made for Hawthorn Cottage is subject to these Terms and Conditions.

In these Terms and Conditions ‘you’ and ‘your’ means all persons names on the booking form (including anyone who is added or substituted at a later date). ‘We’, ‘us’ and ‘our’ means the owners of Hawthorn Cottage, Little Haven, Pembrokeshire, SA62 3UH.

You will be entering into a contract with us, the owners of Hawthorn Cottage. Once the deposit is paid and an email confirms the contract is then formed. All communication from this point is directly between yourselves and ourselves. Please ensure any change to contact details are communicated.

All the information is given in good faith and pictures give a good vision of what to expect but items may change from time to time within the cottage. Any major changes will be communicated at time of booking.

Hirer

All bookings are made subject to availability and only becomes firm when the deposit is accepted by the owner. Bookings cannot be accepted from parties of young people less than 18 years of age and the person must have the requisite legal capability and authority to enter into a contract at the time of booking. By making and confirming the booking you are confirming that you have authority to book on behalf of the party and that all other party members agree that the booking is subject to these Terms and Conditions.

Payment

The deposit of 30% must be made within 1 week of making the booking with the balance payable at the latest 6 weeks prior to your holiday commencing. The booking will be held provisionally for 1 week only and if no deposit is received the booking will be deemed to have lapsed and will be cancelled accordingly. However, please note you will be bound by these Terms and Conditions. Non-payment of the balance of the rent on or before the due date shall be construed as a cancellation of the contract by you.

During the Hire – Your Obligations

During your stay you agree to the following:

a) To notify us of any breakages, losses or damage caused by you to the property or its facilities. Depending on the nature of the damage charges may be applicable

b) To take all reasonable and proper care of the property and leave it in a clean and tidy condition at the end of your holiday. You will be responsible for any additional cleaning costs.

c) To inform us of any problems with the facilities or services as soon as they become apparent.

d) To permit reasonable access to us or preferred tradesmen to the property to carry out urgent maintenance.

e) Not to sublet or share the property except with the persons included at the booking or subsequently included by agreement. The maximum number of persons allowed at the property is clearly stated and must not be exceeded. We reserve the right to terminate hire without notice and without refund where this condition is breached.

f) Not to do anything which may be or become a nuisance to our neighbours.

g) Not to swap any items between other cottages within the complex. All the cottages are individually owned and have their own inventory.

Pet Policy

Pets are allowed at the Hawthorn Cottage and charged at £15 per dog per week. By booking the property you are agreeing to the following:

a) Pets must not, at any time, be left alone in the property.

b) The number of pets should be confirmed at the booking stage and not exceeeded without prior permission of the owners.

c) Pets must not under any circumstances be allowed on any soft furnishings/beds or allowed upstairs in the cottage.

d) Please bring your own beds for pets as these are not provided.

e) Pets must not cause any annoyance to occupants of adjoining properties or to local farm animals

f) Please ensure you clean up after your pet on a daily basis – failure to do so will incur additional charges.

g) Please ensure all flea, worming and vaccinations are up to date.

Cancellation Policy

If you wish to cancel your booking please advise us as quickly as possible by email and/or telephone. The date of cancellation will be taken as the day of receipt of written cancellation.

If we can secure a replacement booking then it may be possible to refund to you any monies paid above the deposit (minus an administration fee).

If another booking is not possible we will retain all payments already paid and also retain the right to recover the balance of the hiring charge. It is therefore important and recommended to obtain travel insurance to cover any unforeseen circumstances.

Whilst we endeavour to avoid any booking issues, occasionally a booking may have to be altered or cancelled. We reserve the right to make these changes but will always contact the person who booked the cottage and advise of the situation and ensure a relevant alternative or refund is made available.

If the property is not available on the date booked and in the absence of fault by ourselves then no rent will be refunded. We, as owners have liability or the requirement to pay compensation for any damage or loss as a result. Again, we recommend you take out adequate holiday insurance.

General Safety Points

We provide a full access statement on our website. We have also tried to minimize all possible hazards. However it is your responsibility (particularly parents and anyone with physical restrictions) to inspect the property and grounds immediately upon arrival and note any possible hazards relevant to you.

Hawthorn Cottage is 130 years old and therefore may have different potential hazards to what you are used to such as beams, additional steps into the bedroom.

Upon arrival familiarize yourself with the layout of the property so that you have a planned route to exit the property as easily as possible in the event of an emergency.

The cottage is at the end of a no through road so relatively safe however please be aware of other cottage vehicles and when walking be wildlife and farm animal aware.

Complaints

Hawthorn Cottage is in a rural location so please note that regular country smells and noises will not be classed as cause for complaint.

If you do have a cause for complaint regarding the cottage please inform us as soon as you are able. Ensure this is during your stay so we can endeavour to resolve straight away.
